The purpose of this activity is to determine if the system operates according to specifications.
OVERVIEW
In preparation for the audit, Systems Engineering obtains
from the Technical Library the following documentation:
The audit and survey will not require the technical
documentation for procedures and programs. Systems Engineering
reviews the system documentation in detail to assure complete
understanding. It will be the objective of Systems Engineering
during the survey to verify all design considerations are
operative and the information requirements are being satisfied.
Any difference will be noted and accounted for during the
survey.
A system audit and survey is analogous to Phase 1,
Activity B, "Current Systems Analysis." The difference is that
Systems Engineering is checking actual operations against the
documentation, as opposed to documenting the current system.
A review of Phase 1/B would be helpful for Systems Engineering
before conducting the survey.
Systems Engineering prepares a Detail estimate and schedule
for the phase. Management of the operating departments are
advised in advance of the survey and its purpose. Systems
Engineering conducts the interviews initially with management,
and, with management's cooperation, departmental personnel.
Under no circumstances should Systems Engineering mistakenly
give the impression that this review is an audit of the
department's performance. If any misunderstandings should
arise, they are to be resolved immediately. During the
interviews, Systems Engineering encourages constructive
suggestions and discusses problem areas with operating
personnel.
As a result of this activity, Systems Engineering has
conducted a complete system survey.
